Position Summary:  

The Human Resources & Executive Assistant is responsible for supporting the organization's people operations while ensuring the efficient day-to-day management of our Pittsburgh office functions. On the office management side, this role serves as the first point of contact for employees, visitors, and vendors visiting our office and will manage supplies, internal meeting support, and office operations. On the HR, this position will provide recruitment and administrative support. 

The ideal candidate is highly organized, detail-oriented, professional, and able to manage multiple priorities while maintaining confidentiality and providing exceptional customer service. This is a full-time, salaried position based out of our Greentree (Pittsburgh) office. Free parking available on site and office is accessible via public transit. Working schedule is anticipated to be primarily normal business hours, Monday-Friday with occasional evening and weekend responsibilities. 

Key Responsibilities  

Office Administrative Support:  

  • Manage daily office operations to ensure a safe, organized, and efficient workplace. 
  • Serve as the primary receptionist by greeting visitors
  • Coordinate office supplies, equipment, and vendor relationships as detailed by the CCO 
  • Schedule meetings specifically for C-Level or Directors and maintain conference room calendars 
  • Support weekly and other office catering requests 
  • Assist with travel arrangements, expense reports, and meeting preparation. 
  • Manage incoming and outgoing mail and deliveries. 
  • Coordinate office maintenance and communicate with building management and service providers. 
  • Maintain office policies, procedures, and administrative records. 
  • Support leadership with administrative projects and reporting.
  • Assist with data entry and document management. 
  • Support cross-functional teams with special projects assigned. 
  • Assist with LINQ culture events such as annual trip and employee Golden Tickets 
  • Work alongside marketing when needed to order supplies and replenish stock for LINQ swag 

Human Resources:  

  • Assist with recruitment activities, including posting job openings, conducting initial phone screening conversations, scheduling interviews, and coordinating candidate communications. 
  • Support new hire onboarding including background checks, new hire paperwork and offer letters. 
  • Maintain employee personnel files and HR records in Paylocity HRIS system, ensuring compliance with company 
  • Support employee benefit enrollments. 
  • Support internal reporting requests for HR related information. 
  • Maintain new employee gift program and ensure delivery to all new hires. 
  • Maintain confidentiality of employee information and HR documentation. 
  • Other HR related tasks as assigned. 

Compensation:

Anticipated hiring salary for this position is $60,000-$65,000. Applicants with related experience may be considered for higher salary range. 

Requirements

 

Required  

  • High school diploma or equivalent. 
  • 2–4 years of experience in human resources, office administration, or administrative support. 
  • Strong organizational and time management skills. 
  • Excellent written and verbal communication skills. 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). 
  • Ability to maintain confidentiality and exercise sound judgment. 
  • Strong customer service and interpersonal skills. 
  • Ability to prioritize multiple tasks and meet deadlines. 

Preferred  

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Experience with HRIS and/or payroll systems. 
  • Knowledge of employment laws and HR best practices. 
  • Salesforce experience

Salary Description

Hiring Range is anticipated to be $60,000-65,000
