Records Management Specialist

Location: Phoenix, AZ Pay: $17.00–$18.00/hour (DOE) Schedule: Monday–Friday | Business Hours Work Environment: 100% Onsite (Warehouse Setting)

Position Overview

The Records Management Specialist supports the Division of Developmental Disabilities (DDD) Records Management Center by organizing, maintaining, scanning, digitizing, and retrieving confidential member records. This role ensures medical records are accurately processed, stored, and maintained in compliance with HIPAA, federal regulations, and State record retention requirements.

Key Responsibilities
  • Organize, log, file, and maintain a high volume of incoming records.
  • Box, scan, and digitize active and retained member records.
  • Quality check records to ensure compliance before storage or digitization.
  • Assign and maintain record storage locations.
  • Retrieve and track records requested by authorized personnel.
  • Reprocess returned records for quality control before returning them to storage.
  • Assist with the secure destruction of paper records after digitization approval.
  • Support the Records Supervisor with special projects related to records management.
  • Perform filing, data entry, scanning, and other general office duties.
  • Maintain confidentiality and ensure compliance with HIPAA and record retention regulations.
Required Qualifications
  • High School Diploma or GED.
  • Minimum 1 year of records management, filing, or data entry experience.
  • Strong organizational and workload management skills.
  • Excellent attention to detail.
  • Proficiency with computers, including Google Workspace (Google Docs, Sheets, Drive, Gmail).
  • Ability to prioritize tasks and work independently.
  • Ability to maintain confidentiality while handling sensitive information.
Preferred Qualifications
  • Experience working with medical records or confidential documentation.
  • Knowledge of HIPAA and records retention requirements.
  • Experience scanning, digitizing, and maintaining electronic records.
  • Previous warehouse, records management, or administrative support experience.
